How to send luggage between hotels and Airbnbs in Italy
A multi-city trip sounds light on paper: Rome, Florence, Venice, then Milan. The difficult part is the large suitcase at every platform, bridge, cobbled street and apartment staircase. Luggage transfer lets the case travel to the next address while you keep the things you need with you.
How an Italy-to-Italy luggage transfer works
You provide two complete addresses, the collection date, the date you need the luggage, and the size and weight of each bag. The transfer service checks which carrier can serve that route and gives you the price, collection window, delivery estimate and packing rule.
At collection, a real person must release the bag: you, a host, reception staff or another agreed contact. The same is true at delivery. A hotel desk can usually cover a wider window than a private home, which makes the handover easier.
The useful question: not only “where is the next hotel?” but “who can physically hand over and receive the suitcase?” Solve both ends before booking.
Hotel-to-hotel is the simplest handover
Ask the departure hotel whether reception can give a labelled suitcase to a carrier after you check out. Then ask the destination hotel whether it can accept the bag before you arrive. Use the same guest name that appears on the room booking.
Give both properties the collection or delivery estimate when you receive it. “A suitcase may arrive this week” is too vague for a busy desk; a named guest, carrier and expected day are much easier to handle.
Do not leave the bag in a lobby without agreement. Reception needs to know what it is, who owns it and what action staff are expected to take.
Airbnb, villa and private-home transfers need a person
An apartment has no permanent reception. Collection works when you or the host can meet the carrier during the agreed window. Delivery works the same way at the next stop.
Use a complete street address, door number, postcode, city, contact name and reachable phone. If the property is inside a restricted traffic area or behind a gate, explain the workable meeting point before the quote is confirmed.
A key box is not a handover: arrange a person at the door. If nobody can be available, use a staffed hotel or another address that has agreed to receive the luggage.
Work backwards from when you need the bag
Domestic luggage transfer is carrier delivery, not an instant porter between two stations. The route, pickup day and available service decide the estimate. Weekends, islands and remote addresses can change the options.
Request the quote as soon as both stays are confirmed. Share your preferred collection date and the first date someone can receive the bag. Do not book an activity around an unconfirmed arrival time.
If you need everything that evening, keep the suitcase with you or arrange a genuinely local same-day service. A carrier transfer is most useful when your daypack covers the time between handovers.
Pack for the service you actually book
Some domestic carrier services accept a closed suitcase. Others require a box or protective packaging. Confirm the selected service before deciding how to prepare the bag, and give its real dimensions and weight: carriers check both.
Keep passports, identity documents, medicine, money, jewellery, keys and anything irreplaceable with you. Power banks and loose lithium batteries should not travel in the shipment. Keep clothing and essentials for the days before delivery in the daypack too.
Remove old airline labels, close every zip, photograph the bag before handover and attach the guest name without displaying unnecessary personal information.
Transfer it, or take it on the train?
Take it with you when the suitcase is manageable, you need its contents immediately and the itinerary has simple station access. You keep control and avoid coordinating two handovers.
Send it ahead when the large bag makes several city changes harder, both addresses have reliable contacts and you can travel from a daypack while it is in transit.
